You recently got married, welcomed a child, or experienced another major change in your family.
Your personal information in Utah CIS is up to date, so you assume your university benefits will reflect the change as well.
But updating your employee profile doesn’t automatically modify your benefit elections.
At the University of Utah, eligible employees use UBenefits to request qualifying life event changes outside the regular Open Enrollment period.
And the deadline is shorter than some older university instructions suggest.
The University Changed Its Enrollment Deadline
Beginning April 1, 2025, the University of Utah reduced the deadline for employee benefits enrollment changes from 90 days to 30 days.
That means employees generally must submit their qualifying life event elections within 30 days of the event.
The deadline applies to events such as marriage, divorce, birth or adoption of a child, and certain changes affecting benefit eligibility.
Don’t rely on an older guide that still mentions a 90-day window.
What Counts as a Qualifying Life Event?
A qualifying life event is a change that may allow you to adjust benefit elections outside Open Enrollment.
University guidance identifies several examples:
- Marriage or divorce
- Birth or adoption of a child
- Death of a family member
- Loss or gain of other qualifying coverage
- Changes in employment hours affecting benefits eligibility
- A dependent losing eligibility for coverage
Not every personal change qualifies.
Moving to a different apartment, for example, doesn’t automatically authorize changes to every benefit plan.
The event must meet the applicable plan requirements.
Start With UBenefits
Utah CIS provides access to university employee resources, but the relevant benefits changes are completed through UBenefits.
The university’s published instructions direct employees to the Change Your Benefits area.
From there, select the option corresponding to the qualifying event.
Choose the actual event rather than selecting a different category simply because it appears easier to complete.
The event type can determine which benefit changes are permitted.
The Event Date Matters
Suppose you get married on October 5 but don’t begin reviewing your benefits until October 20.
Your 30-day window is tied to the qualifying event, not the day you first open UBenefits.
That distinction matters.
Waiting to receive every document before checking the requirements can leave very little time to complete the process.
Review the instructions promptly after the event.
Adding a Family Member Requires More Than Updating Your Profile
After the birth of a child, you may update your family information.
However, that doesn’t necessarily enroll the child in university health coverage.
Dependent enrollment is a separate benefits action.
You may also need to provide documentation establishing the dependent’s eligibility.
The university can request evidence such as birth or marriage certificates, depending on the circumstances.
Don’t assume that listing someone as a family member automatically adds them to an insurance plan.
Divorce Requires Prompt Attention
Divorce is particularly important because benefit eligibility can change immediately.
The University of Utah specifically reminds employees that a former spouse loses eligibility on the date the divorce becomes final, not when the employee eventually removes that person from coverage.
That means delaying the administrative update doesn’t extend the former spouse’s eligibility.
Review the applicable requirements and report the event promptly.
You Can’t Necessarily Change Every Benefit
A qualifying life event doesn’t create an unrestricted opportunity to redesign all your benefits.
Changes generally must be consistent with the event.
For example, adding a newly eligible child to coverage is different from requesting an unrelated plan change.
UBenefits and the applicable plan rules determine which elections can be modified.
Review the options available for your specific event rather than assuming every selection is permitted.
Confirm That the Enrollment Was Completed
Entering information is not always the same as submitting an election.
After selecting the appropriate event and reviewing the available options, complete the required submission steps.
Check for a confirmation or another indication that your request was received.
If documentation or review is required, follow the instructions provided.
Don’t assume that closing the page after entering dependent information means the enrollment is finished.
What If You’re Already Past 30 Days?
Don’t assume that a late request will automatically be accepted.
Contact the university’s Benefits Office as soon as possible and explain the circumstances.
The applicable plan rules determine whether a change can still be processed or whether you must wait for another eligible enrollment opportunity.
Avoid entering an incorrect event date to make a request appear timely.
Accurate information is essential.
University and Hospital Employees May Follow Different Processes
The University of Utah identifies UBenefits as the benefits enrollment system for university faculty and staff, excluding University of Utah Health employees covered by separate administration.
If you work for Hospitals & Clinics, verify which benefits system and deadlines apply to your employment group.
Don’t assume instructions for university-side employees automatically apply to every University of Utah Health position.
Explain Your Situation Clearly
If you need help, provide the essential details:
System: Utah CIS / UBenefits
Event: Birth of a child
Event date: October 8
Requested change: Add an eligible dependent
Current issue: Unable to complete the benefit election
Question: What additional action or documentation is required before the deadline?
This helps the benefits team identify the relevant process without unnecessary back-and-forth.
Don’t Confuse Personal Records With Benefits Elections
Utah CIS can help you maintain employee information, but benefits enrollment has its own rules.
Updating your marital status or family details doesn’t necessarily modify insurance coverage.
The university’s 30-day deadline makes that distinction especially important.
After a qualifying life event, review UBenefits promptly, select the correct event, complete the applicable elections, and verify submission. A current employee profile isn’t a substitute for a completed benefits change.
